Nine times out of ten, a printer that refuses to join your wi-fi network is stuck on one of three things: it's trying to connect to a 5GHz network it physically can't see, the router has changed channel or password since the printer last connected, or the printer's wireless radio has gone to sleep and needs a hard reset before it'll even attempt a handshake. Sort out which of the three you've got, and most printers are back online within five minutes.
Assuming a home or small-office reader with a standard wireless inkjet or laser printer (HP, Canon, Epson, Brother) and a consumer router, not someone managing enterprise print servers.
Check these three things before you touch a single setting
Before diving into router menus, rule out the boring stuff. Printers fail these checks constantly, and every manufacturer support line asks them first for a reason.
Is the printer actually awake? Many inkjets drop into a low-power sleep state after 15 to 30 minutes idle, and the wireless radio powers down with it. Press any button on the control panel and wait for the display to come fully alive before starting the wireless setup wizard.
Are you typing the password onto a tiny screen correctly? Printer keypads mix up 0 (zero) and O, and lowercase L and uppercase I, more than any other input device in your house. If your wi-fi password has a mix of similar characters, print the current network settings from your router's admin page and compare character by character rather than trusting memory.
Has the SSID (the network name) got a symbol in it? Spaces, ampersands, and accented characters in an SSID trip up older printer firmware. If your network is called something like "Smith's WiFi 5G!" and the printer keeps failing at the same step, this is worth testing by temporarily renaming the network to plain letters and numbers.
The single biggest cause: your printer can't see 5GHz
This is the one that catches out more people than everything else combined. Most home printers, including the popular HP DeskJet and Envy ranges, and Canon's PIXMA line, ship with 802.11 b/g/n wireless radios that only operate on the 2.4GHz band. They cannot see, let alone join, a 5GHz network, full stop.
Modern routers from ISPs increasingly broadcast a single combined SSID that automatically pushes capable devices onto 5GHz for speed, a feature usually called "band steering" or "smart connect." Your phone and laptop handle this invisibly. Your printer, lacking a 5GHz radio, either can't find the network at all or connects intermittently and drops out, because the router occasionally steers it toward the band it can't use.
The fix is to split the bands. Log into your router's admin panel (usually at 192.168.1.1 or 192.168.0.1, printed on a sticker on the router itself) and give the 2.4GHz network its own separate name, something like "HomeNetwork_2G." Connect the printer specifically to that one. Your phone and laptop can stay on the combined or 5GHz network; nothing else needs to change.
Router settings that block printers without telling you
If band separation doesn't fix it, the router itself may be actively rejecting the printer, often silently, with no error message on either end.
AP (client) isolation. Some routers, particularly ones set up with a "guest network" toggle switched on by mistake, prevent devices on the same wi-fi from talking to each other. Your printer joins the network fine and gets an IP address, but your laptop can never discover it, because isolation mode blocks device-to-device traffic. Check the router's wireless settings for "AP isolation," "client isolation," or "guest network" and switch it off for the main network.
MAC address filtering. If you or a previous occupant enabled a MAC whitelist for security, the printer's network card has a fixed address that needs adding manually every time you replace the router or the printer's mainboard is repaired. The printer will report a successful wi-fi handshake but never get an IP lease, which looks identical to a password problem from the printer's side.
Firewall rules on mesh systems. Google Nest Wifi, eero, and TP-Link Deco systems sometimes classify printers as IoT devices and route them onto an isolated subnet by default. If you've got a mesh system, check the app for a device-specific "isolate" or "IoT network" toggle against the printer's entry.

Skip the printer's own menu, use the manufacturer's app instead
Here's something the printer's built-in wireless wizard won't tell you: it's usually the least reliable way to connect. HP Smart, Canon's IJ Network Tool (via the Canon Print app), and Epson's Smart Panel all run a proper network diagnostic during setup, checking signal strength, verifying the password against the router before committing, and, critically, offering a USB-assisted setup that hands the wi-fi credentials to the printer directly from your computer instead of you typing them on a two-line LCD.
For a printer that's failed the same way three or four times through its own menu, plugging in a USB cable temporarily, running the manufacturer's setup app, letting it configure wi-fi over that cable, then unplugging it once configured, resolves the issue far more often than persisting with the control panel wizard. This isn't a permanent USB connection, it's a one-time handoff to get the credentials across correctly.
What to do if it connects but then drops out again after a power cut
This one catches people out because it looks like the printer has "forgotten" the network, when actually it's a timing problem. Most printers attempt their wireless reconnection once, within a few seconds of powering on, and then give up rather than retrying indefinitely. If your router takes 60 to 90 seconds to fully boot after a power cut (which is normal, most consumer routers do), and your printer switches on faster than that, the printer tries to connect to a network that technically isn't broadcasting yet, fails, and sits idle until you intervene.
The fix isn't a router setting, it's a habit: after any power cut, switch the printer off and back on again once the router's own wi-fi light is solid, rather than assuming it'll reconnect on its own. On printers with a persistent "connect" or wi-fi button (Brother and most Epson models have one on the control panel), holding it for two to three seconds forces a fresh reconnection attempt without a full power cycle.
It's connected to wi-fi but Windows or Mac still can't print to it
Getting the printer onto the network and getting your computer to recognise it as a print destination are two separate problems, and this is where people give up despite doing everything right. If the printer shows a solid wi-fi light but doesn't appear when you go to add a printer, remove it from your computer's printer list entirely, then add it back using "Add printer by IP address" rather than the automatic network search, using the IP address shown on the printer's own network status page (usually found under Settings > Network > Wireless Status on the control panel). Automatic discovery relies on a protocol called Bonjour or WSD (Web Services for Devices) broadcasting correctly across the network, which is exactly the kind of traffic that AP isolation and some mesh router "IoT isolation" settings block, even after you've fixed the initial connection.
